Q – I have never hired the Village Hall before, what do I need to do? Firstly check the availability of the facilities you need for the date(s) you have in mind, using the Bookings Diary at the top of our Booking page, or email  bookhambledonvillagehall@outlook.com

Then:

  • You can provisionally reserve your booking online by clicking on the time slot/room you would like to reserve.
  • You MUST read and agree to the Conditions of Hire BEFORE making your booking.
  • Then complete the Bookings Form and return it to us.
  • We will require a deposit.
  • Please also note the Handy Hints for Hirers and also the duties of your designated Fire Officer if you are conducting a public event. 
  • You will find everything you need on the Booking page, but do please use the details on the Contact page if you have any questions or need help. 

Q – Why do you require a deposit? The vast majority of Hall users are people just like you, considerate and respectful of the facilities we offer. We do require a deposit into our bank account, the amount is then returned to the user when the hire is successfully completed. If paying by cheque we do cash cheques rather than hold them. Occasionally there is damage to the fabric of the building and we charge accordingly for repairs and renovation. We do charge for any additional amount over and above the deposit to complete repairs. It is very important that hirers read and agree our Conditions of Hire as this means you agree to accept responsibility for any additional charges that may be incurred

Q – Where can I get the key? The key is available at the Village Shop (The People’s Market) in the centre of the village. It is open from 7am to 8pm every day of the week (6pm Sundays). Please return the key promptly for the benefit of the next user.

Q – The key isn’t there, what should I do? Call 02392 632812 OR 02392 632309 OR 07471 201 170 OR 07549 277 448. These are members of the Management Committee who live locally and have a key. Do not contact the Parish Council, because they are distinct from the Village Hall.

Q – How many chairs and tables are there in the Main Hall? There are 140 chairs, 17 6 ft tables, and 6 small square tables in the Main Hall and Bar Room. The Main Hall can accommodate up to 140 people seated, 250 standing, 200 for discos/parties, and 90 -110 seated at tables.

Q – How many tables and chairs are there in the Pavilion?  60 chairs and 8 small tables.

Q – How many people can the Meeting Room accommodate?  The Meeting Room can accommodate 12-14 people boardroom style and 30 theatre style.

Q – Are there white boards for writing on?  The Meeting Room has a small magnetic white board fixed on the wall, but there are no mobile white boards.

Q – Is there a projector and/or screen?  There is a screen, but no projector. You will need to provide your own projector.

Q – Is there a sound system and microphone? No.  You will need to provide your own sound system and microphone.

Q – What cooking facilities are there?  In the Main Hall, there is a fully equipped kitchen with 3 ovens, hob, microwave, 2 fridges, wine cooler in bar, dishwasher, hotplates. In the Pavilion there is a single oven, a small fridge, a portable induction hob (requires induction-suitable saucepans, which are not supplied).

Q – Can I decorate the Main Hall or Pavilion? Decorations may be fixed to existing hooks and nails provided and where no damage will be caused. Hirers are welcome to discuss requirements with the Bookings Secretary. Hirers may not use drawing pins or Blu-tac, which will damage walls or visible woodwork (including notice board frames).

Q – Are dogs allowed in the Main Hall or Pavilion? Well-controlled dogs on leads are welcome. However, if food is being served or on display, hirers may request that dogs not be admitted. In the grounds, dogs must be supervised at all times, and cleaned up after. There is a dual-purpose bin near the carpark entrance.

Q – I would like to use the dishwasher for my event, what do I need to do? Users need to properly understand how to to operate the equipment before use. Please carefully read the information posted adjacent to the dishwasher. Remember to switch it on in advance of the time you wish to use it. The dishwasher can produce high temperatures – take care loading and unloading. 

Q – What is the Ron Turner Room?  It is what is now referred to by the descriptive term the Bar Room. This addition to the Main Hall was made possible by a generous donation from Hambledon resident, Ron Turner.
